Digital signage is meant to simplify communication, connecting teams, sharing updates, and keeping everyone aligned. In many organizations, it starts doing the opposite.
The tech doesn’t fail. The responsibility behind it fails because it was never clearly defined. When that happens, digital signage systems quietly becomes IT’s problem. The reality quickly becomes clear: IT already has enough on their plate.
Where the Friction Starts
A few months back, we launched a poll to our LinkedIn audience:
“What causes the most friction for IT with digital signage today?”

The results were telling: 44% said ownership confusion, 22% said security concerns, 22% said device outages, and 12% said content change requests. Security and outages are expected challenges but nearly half the respondents pointed to something much less technical and far more preventable: Ownership Confusion.
Why Ownership Confusion Becomes a Problem
Digital signage sits at the intersection of all the teams that make up an organization. IT manages infrastructure, security and all the devices. Marketing and communications create and schedule the content displayed. Facilities handle the install and initial powering of screens. HR aids in internal content messaging. Written out, it seems like a shared initiative.
“Shared” quickly can turn into “undefined”and undefined responsibility almost always deflects back into IT’s lap. Not because IT asked for it but because they are who the org turns to when something breaks or goes wrong.
Where the Gaps Begin to Show
A digital signage solution is requested. Facilities installs the displays, and IT gets the CMS set up, devices secured, online, and ready to go. Marketing and HR build out content and plan the rollout. The system goes live… and that’s when the gaps show up. Content needs updating. Messaging needs approval. Screens go down. New users need training. And suddenly, IT is in the middle of it all.
If these questions aren’t answered upfront, IT becomes the workhorse. And suddenly, the communication tool becomes another operational burden.
What Healthy Ownership Actually Looks Like
One team doesn’t own successful digital signage. Cross-team coordination with clear boundaries do. Broken down by team it might look something like this:

Facilities owns:
When these roles are clearly defined, IT maintains control without overload, content teams are able to stay self-sufficient, systems stay secure, and screens stay online and up to date. And the best part of all is that the solution scales.
